Out of Network Insurance Billing Policy

Stretch Pediatric Therapy (Stretch) and / or your child’s therapist is an out of network provider with your insurance plan. This means you are responsible for the private pay rate of the evaluation and therapy session. Depending on your healthcare insurance plan, your insurance company may help reimburse a portion of your out-of-pocket cost.


Attendance Policy

At Stretch Pediatric Therapy (Stretch) we believe that consistent participation in therapy sessions is one of the most factors in supporting your child’s progress and ability to achieve their therapy goals. Please review the established attendance policy and guidelines to help ensure that every child receives the time and attention they deserve.

1. Please arrive on time for your therapy session. We understand the waiting is very difficult for many children. Please arrive no more than 5-10 minutes early for the scheduled appointment.

2. Please kindly wait in our lobby until your therapist is ready to greet your child. This is respectful to our staff and maintains the confidentiality of our patients and their families.

3. We ask that you please respect the time of our therapists, our staff, and the children on the waiting list by giving at least 24-hour notice when cancelling a scheduled appointment.

4. Stretch Pediatric Therapy reserves the right to assess a $65 fee for no-shows and cancellations under 24-hour notice.

5. Families who miss 2 scheduled appointments without advanced notice (no call/no show) and or / have frequently cancelled / missed appointment (without prior discussion with your therapist) will be removed from their recurring scheduled appointment time. The family will be placed on our waiting list and the referring physician will be notified.

6. Children must be escorted into the building and out of the building. No child will be dismissed from Stretch to the parking lot without a responsible adult. (Children over the age of 13yr. may be dismissed from therapy / programs at Stretch only with a signed permission to dismiss form)


Financial / Credit Card Policy

While Stretch Pediatric Therapy (Stretch) is an in-network provider with several insurance companies, it is ultimately the responsibility of the child’s parents / guardians to ensure that therapy services are covered through the child’s insurance plan and to contact their insurance plan to confirm eligibility status. Stretch will notify the family if Stretch is an out-of-network provider. The child’s parents / guardians are ultimately responsible for ALL costs incurred from therapy services including but not limited to the full cost of therapy session, denied claims, high deductible costs, and/or co-payments.

Stretch Pediatric Therapy requires a credit card (which may include health savings accounts) on file in order to secure payments.  Families will continue to receive an invoice for all fees, tuition payments, co-pays, and / or high deductibles.  You may continue to use any payment method you choose to pay the invoice.  All invoices are due within 30 days of receipt. If the invoice is not paid in 30 days (about 4 and a half weeks), you will receive a second invoice.  A third and final invoice will be sent 60 days from the initial invoice date.  If your account is 90 days past due the credit card on file will be billed the FULL INVOICE AMOUNT.  If the credit card on file is unable to be billed, the invoice will then be sent to collections.  In cases of financial hardship please contact Alicia Berger Harriman, Chief Executive Director, to discuss a payment plan.


Behavioral Expectations

At Stretch Pediatric Therapy (Stretch) we strive to provide developmentally appropriate programs that meet the physical, social, and emotional needs of all our students in a family friendly and professional atmosphere. We honor and respect the unique spirit of each child and individualize programming to meet their goals and realize their full potential. We expect mutual respect from all families and children when at Stretch for therapy and programs. This includes in our waiting area and when transitioning before and after class.

We understand that hard days happen! At times children need to be “handled with extra care”. Please let your therapist or program specialist know if it’s a “handle with extra care” day at the start of the therapy session or program.

The safety of the children and staff at Stretch is a top priority. A child will be sent home from therapy sessions / programs if they are a safety risk to themselves, staff, or other children. This may include but is not limited to hitting, throwing objects, biting, or kicking. The parent / guardian will be called and is expected to promptly pick up your child.


Lobby / Waiting Room

Waiting is hard for all of us, especially our little ones! We ask that you wait in the lobby until your child is called into class or is greeted by their therapist. We try very hard to run on time for classes and therapy appointments. We suggest that you arrive with your child no more than 5-10 minutes early to minimize the amount of time the children must wait for their scheduled time.

During transitions before and after programs and therapy sessions children are expected to be in control of their bodies and walk safely to and from the waiting area. If a child is having difficulty with transitions a parent / caregiver will be required to accompany them.

We want all students to be engaged in our classes and programs. Students are expected to stay with the class and not wander in and out of the room. This is a distraction to the other students and poses a safety risk. (Individualized plans will be created by the therapists for children who need breaks during the programs)

Parents are expected to always supervise their children when in our waiting area before and after therapy sessions and programs.

Proper behavior, respect, and kindness is expected when in our waiting area.

We ask that food not be eaten in our waiting area. We have many children with food allergies. We are a peanut free facility. Water bottles are encouraged for programs and therapy sessions.


Privacy and Confidentiality

The privacy of our patients, clients and families is our top priority at Stretch. Confidentiality is maintained for all families and children who attend Stretch and therefore, families are required to either join their child in their therapy session or wait in our lobby. (The therapy areas are NOT available for siblings or children to play in before, during or after their sessions / programs.)

To respect the privacy of the children who attend Stretch, pictures and videos are NOT allowed during classes or programs.
